Wage, salary and employment records: the Income Tax (Employments) Regulation stipulates that all income tax documentation must be kept for no less than three years after the relevant financial year. This includes all records of overtime, bonuses, and expenses. This protects the business in the event of a tax issue or an underpayment claim.

Accounting records: keeping meticulous records of company accounts should be standard business practice. There are also statutory retention periods, per Section 221 of the Companies Act 1985 (as modified by the Companies Acts 1989 and 2006). If you’re running a private company, you’ll need to keep these documents for three years.

In situations where there is no legal requirement determining a document’s retention period, you will have to decide when to destroy it. However, it is recommended that pension records, for example, are kept for twelve years from the end of any benefit payable under your company’s scheme.

Every business will have different needs. Use your judgement and consult with your peers to determine non-statutory retention periods. If faced with extreme uncertainty, err on the side of caution and keep the documents in question for at least six years – five if your business is based in Scotland. This typically covers the time limit for any civil legal action – though specific legal/HR advice relate to your business’s circumstances should be sought.
